Management referrals, or fitness assessments, aim to assess an employees health and wellbeing in relation to the workplace, provide an independent and impartial opinion on their fitness to work, and provide recommendations and guidance about how to support an employee returning to work, or to continue working.

Whether it’s concerns around wellbeing, performance, or workplace adjustments, we work collaboratively with both the employee and employer to assess needs, recommend solutions, and foster sustainable outcomes. With clear communication and practical guidance, management referrals help create healthier teams and stronger organisations.

FAQs

A management referral is used when an employee’s physical or mental health impacts their ability to work. We support routine absences, long-term conditions, fitness to work concerns, and complex or sensitive cases, including mental health or medico-legal reviews.

Management referral reports aim to provide actionable, evidence-based advice regarding an employee’s fitness to work and, if appropriate, suggest a safe and sustainable return-to-work plan and recommend adjustments.

Occupational health providers are responsible for facilitating the referral process, undertaking an impartial evaluation of a referred employee’s health in relation to their role, providing an evidence-based occupational health report including recommendations on fitness to work, return-to-work plans and adjustments, and maintaining confidentiality. The occupational health provider must remain impartial and operate within professional and ethical boundaries, focusing on facilitating communication between the employer and employee for a mutually agreeable outcome.

The employer is responsible for securing employee consent via the Civica portal, providing relevant work, health, or incident-related context, and implementing any adjustments or support recommended in the report that are reasonable, lawful, and practical for the workplace.

We assess the employee’s fitness to work, their mental and physical health status, and their need for adjustments. A standard appointment typically takes one hour.

Employee assessments can be conducted in-clinic or remotely.

Employee consent is required at two key stages, and each instance of consent is recorded on our occupational health platform, Civica.

First, employee consent is required to proceed with a referral (known as pre-consent). Your employee will need to be willing to talk openly and honestly with a member of our occupational health team (OH team).

Second, after the assessment has been carried out, we will prepare a written report for the referring manager’s consideration. Prior to sending the report, we require the employee’s consent before releasing it.

In very rare circumstances, an employee may withdraw consent; if this happens, we will update the referring manager at the earliest stage.
